1.0 DRIVERS CUM OFFICE ASSISTANTS (6 POSTS)

1.1    Location: Any Upcountry Regional Office

1.2    Reporting to: Regional Officer-In-Charge

1.3    Minimum Qualification

Holder of Form IV certificate and a valid Class “C” Driving License coupled with three years proven driving experience.  In addition, the candidate must possess a Trade Test Grade III in Motor Vehicles Mechanics and a Certificate in Motor Vehicles Driving.  

1.4    Duties and Responsibilities

  • Responsible for proper handling and driving the Fund’s vehicle assigned to him.
  • Ensuring that the Fund’s vehicle and its accessories are in a good and safe working condition before and after making any trip.
  • Carrying out minor repairs on the vehicle assigned to him.
  • Ensuring files and letters are delivered timely within the Fund’s offices to facilitate smooth work flow.
  • Collecting and dispatching letters and messages to relevant departments, sections and units.
  • Disbursing and collecting letters and parcels to and from various offices outside the Fund’s premises.
  • Ensuring offices and other facilities in the office premises are clean.
  • Performing any other related duties as may be assigned by supervisors from time to time.

2.0  GENERAL TERMS AND CONDITIONS FOR ALL POSITIONS

2.1  Age Limit:    Not above 45 years.

2.2 Remuneration:     Salary and fringe benefits will be offered to the Successful candidates as per the Fund’s salary structure and incentive package.

2.3  Terms:   Pensionable

1.0 TELEPHONE OPERATOR/RECEPTIONIST (1 POST)

1.2    Reporting to: Administrative Manager

1.3    Minimum Qualification

Form IV Certificate with passes in English and Kiswahili. Candidate must possess a certificate in Telephone/Front Office Operations from a recognized training institution and must be computer literate.

1.3  Duties and Responsibilities

  • Receiving visitors and directing them to proper officers.
  • Keeping visitors register.
  • Receiving, screening and routing internal and external telephone calls.
  • Ensuring safety and cleanliness of the switchboard and the associated appliances.
  • Ensuring visitors have prior appointments or permission from the respective officers.
  • Registering all incoming and outgoing calls.
  • Reporting telephone communication failure to the office supervisor.
  • Making follow up with telephone service providers on telephone bills
  • Performing any other related duties as assigned from time to time.

Form IV certificate with an Ordinary Diploma in secretarial studies from a recognized learning institution. Candidates must have good communication skills and computer literacy in Microsoft Office.

1.4  Duties and Responsibilities

  • Handling incoming mails marked for personal attention.
  • Filing and distributing internal mails.
  • Keeping a diary of events and arrange appointments for the Directors.
  • Keeping file Movement Register in the respective offices.
  • Ensuring cleanliness and safety of assets and official documents in the office.
  • Typing official documents.
  • Receiving and directing visitors to respective offices.
  • Keeping and maintaining diaries and appointments of his/her superior
  • Keeping and maintaining office machines, equipment and accessories.
  • Ensuring incoming and outgoing files are in order.
  • Preparing list of office requirements.
  • Facilitating departmental meetings arrangements. 
  • Keeping record of file movement register and other office documents in his/her office.
  • Performing any other related duties assigned by a superior from time to time.

National Form IV certificate with at least 3 credits, two of which must be Kiswahili and English with a certificate in records management from a recognized institution. Candidates with at least one year work experience in the field of records management will have added advantage. Candidates must be computer literate.

13.4    Duties and Responsibilities

  • Recording letters in the inward and outward registers for postage and/or dispatch.
  • Sorting index and file letters in the appropriate files.
  • Recording and maintain the file movements in file movement registers.
  • Assisting in opening new confidential and open files.
  • Dispatching  letters and documents on time.
  • Keeping and maintain personal and open subject files in good order.
  • Handling and classify open files and documents.
  • Performing any other related duties as may be assigned by superiors from time to time.
